AGM 2023

Welcome

We are delighted to welcome you to BELMAS’ 2023 Annual General Meeting (AGM). Like 2022, we will be holding this event online via zoom*, where details can be found on the event page and through our email communication and newsletter.

Date: Thursday 6th July 2023 | Time: 15:00-17:00 | Location: Zoom

This year’s AGM is set to be one of the most important meetings of our 50 year history as we look to approve the change in legal status from a Charitable Company to a Charitable Incorporated Organisation (CIO). We will approve the audited accounts for 2022 and the affiliations of which BELMAS are members and pay subscription fees to.

There will also be an opportunity for members to ask the Trustees questions by submitting them in advance of the meeting.

*This meeting will be recorded for note-taking purposes, with the recording being permanently deleted once the minutes have been written.

Documents

All information on these changes can be found in the documentation below. If there are no links with the report, then please assume the report will be delivered verbally.

AGM FAQs

Can I attend if I am not a member of BELMAS?

No. The AGM is for members of BELMAS only.

As a member, can I vote on everything on the agenda?

Yes. Each member will receive one vote each. This will be conducted via the “poll” method on Zoom.

What happens if I cannot attend the AGM?

We encourage as many people to attend the AGM as possible as we believe that conversation and dialogue is what makes informed decisions. Alongside this, “postal votes” were designed for in-person meetings and we are confident that by holding the meeting online, we are being inclusive of our members.

There is a further risk to the democracy of BELMAS; due to the potential number of attendees, it would be administratively difficult for the BELMAS team to ensure that no-one has two votes by submitting a postal vote and then attending the webinar.

Therefore, you will not be able to vote unless you attend the meeting.

What happens if we do not approve the conversion to a CIO?

The documents provided for this AGM should outline the issues the organisation has faced and the reasons why it is necessary to make this significant change. In the event that the motion to convert does not pass, BELMAS will continue to hold significant governance risks.

How do I get more info about the CIO conversion?

The Executive Officer, Ryan Beasley will be holding two weeks of open sessions for members to go through the Conversion between Monday 5th June 2023 and Friday 16th June 2023. The link for each of these sessions can be found below.

How do I submit a question to the Trustees?

Submitting a question is easy! Simply click the button above and you will be taken to our Jotform site to submit your question. We may not be able to get through all the questions at the AGM, however, we will ensure that we respond to every question either in the AGM or by email after the event has taken place.

Why is the AGM being recorded?

To support our neurodiverse team at BELMAS, we record all meetings to support them to take meeting notes effectively. All recordings are deleted immediately after the notes are taken and in line with our data protection policy
